In-Person Event Policy
Updated Summer 2026
At Pathways Consulting, we want our in-person experiences to be welcoming, accessible, and thoughtfully designed from the moment you register to the moment you leave.
The following policies apply to Pathways Consulting in-person events unless otherwise stated on the registration page for a specific event. By registering for an event, participants acknowledge and agree to the applicable policies outlined below.
Registration, Cancellations & Refunds
Registrations are refundable up to 14 days before the event. After that date, registrations are non-refundable due to event commitments and limited capacity; however, registrations may be transferred to another participant.
If you are unable to attend and would like to transfer your registration, please contact Pathways Consulting before the event.
If a specific event has a different cancellation or refund policy, this will be clearly identified at the time of registration.
Event Changes & Cancellations
Occasionally, circumstances may require us to adjust an event. Pathways Consulting reserves the right to make reasonable changes to event details, including the schedule, facilitators, activities, venue, or format.
If Pathways Consulting cancels an event, registered participants will receive a full refund of their registration fee.
Pathways Consulting is not responsible for additional expenses incurred by participants as a result of an event change or cancellation, such as transportation, parking, accommodations, childcare, or other personal costs.
Photography & Media
Photography and/or video may take place during Pathways Consulting events to capture moments of learning, connection, and participation.
Photographs and recordings may be used by Pathways Consulting for purposes including event recaps, social media, website content, newsletters, and future promotional or marketing materials.
Names or other identifying information will not be shared alongside photographs or recordings unless additional permission has been provided.
We also recognize that not everyone is comfortable being photographed. Participants who prefer not to appear in photography or video are encouraged to let a member of the Pathways team know when they arrive, and we will make reasonable efforts to honour that preference throughout the event.
Accessibility & Accommodations
Pathways Consulting is committed to creating inclusive and accessible learning experiences.
If you require an accommodation or have an accessibility need that would support your participation, please contact us as early as possible before the event. We will work with you to understand your needs and identify reasonable accommodations wherever possible.
If you have questions about the accessibility of a particular venue or event experience before registering, we welcome you to reach out.
Respectful Participation
Pathways events are designed to create spaces where people can learn, connect, contribute, and engage with others respectfully.
Participants are expected to contribute to an environment that respects the dignity, perspectives, identities, experiences, boundaries, and participation of others. Harassment, discrimination, threatening behaviour, or conduct that significantly disrupts the experience of others will not be tolerated.
Pathways Consulting reserves the right to address behaviour that is inconsistent with these expectations and, where necessary, ask a participant to leave an event. In these circumstances, a refund may not be provided.
Participant Responsibility & Liability
Participants are responsible for their own personal belongings and for making choices appropriate to their individual needs and circumstances while attending an event.
Participation in activities is voluntary. Participants are encouraged to consider their own comfort, abilities, health, and individual needs when deciding whether and how to participate in an activity.
Pathways Consulting is not responsible for lost, stolen, or damaged personal property or for circumstances outside of our reasonable control, including those related to third-party venues or service providers.
Third-Party Venues, Services & Costs
Many Pathways events are hosted in partnership with third-party venues or service providers.
Registration includes only the items, activities, food, beverages, materials, or services specifically identified as included in the event description. Participants are responsible for any additional expenses they choose to incur, including additional food or beverages, transportation, parking, accommodations, or other purchases unless otherwise stated.
Services or purchases made directly through a third-party venue, vendor, or provider are subject to that provider's own terms, policies, availability, and practices.
Alcohol at Events
Some Pathways events may take place at licensed venues or include alcoholic beverages as part of the event experience.
Where alcohol is available, participants are responsible for making their own decisions regarding consumption and for arranging safe transportation. Alcohol service remains subject to the policies and requirements of the venue and applicable laws. Non-alcoholic options will be available when beverages are included as part of an event.
Questions About Our Event Policies
We want you to feel informed and comfortable before attending a Pathways experience. If you have questions about these policies, accessibility, accommodations, or the details of a specific event, please contact Pathways Consulting before registering or attending.
These policies may be updated periodically as our events and experiences evolve.
